What Must an Electrician's Invoice Include in Australia?

Under ATO rules, a tax invoice for electrical work over $82.50 (inc GST) must include the words "Tax Invoice", your business name and ABN, invoice number and date, a description of the work performed, the GST amount, and the total payable.

Beyond the ATO minimum, a professional electrical invoice should also include your electrical licence number, the job/installation address separate from the billing address, a breakdown of callout fee, labour, and parts/materials, your safety certificate fee correctly marked as GST-exempt, and payment terms and workmanship warranty.

Electrical Safety Certificates by State - What Electricians Need to Know

Every Australian state requires a safety certificate to be issued after electrical work, but the name, threshold, and lodgement window differs in each jurisdiction.

StateCertificate nameIssued byLodgement window
VICCertificate of Electrical Safety (COES)Registered Electrical Contractor or Licensed Electrical WorkerWithin 30 days
NSWCertificate of Compliance for Electrical Work (CCEW)Licensed electricianWithin 7 days
QLDCertificate of Testing and ComplianceLicensed electrical contractorRequired before energising
WAElectrical Safety Certificate (ESC)Registered Electrical Contractor / Licensed Electrical WorkerAfter completion
SACertificate of Electrical Compliance (eCoC)Licensed tradespersonWithin 30 days
TASCertificate of Electrical Compliance (CEC)Electrical contractorWithin 3 days
NTCertificate of Compliance (CoC)Registered Electrical Contractor / Licensed Electrical WorkerWithin 30 days
ACTCertificate of ComplianceLicensed electricianAfter completion

The certificate purchase amount itself is GST-exempt under each state's electrical safety legislation. However, electricians may charge an additional handling or administration fee for the time spent purchasing, completing and lodging the certificate, and that handling fee is subject to GST if the electrician is GST-registered. This generator handles both amounts correctly and automatically.

How to Invoice Callout Fees and After-Hours Rates for Electrical Work

Electrical callout fees typically cover travel time and initial attendance, charged separately from the hourly labour rate. After-hours and emergency rates commonly run from 50% loading on evenings and Saturdays up to double time or more for Sundays and public holidays.

  • List the callout fee as a clearly labelled, separate first line item
  • State what the callout fee covers (e.g. "covers travel and first 30 minutes on site")
  • Show the after-hours loading as a distinct line in the totals block, not blended into the hourly rate
  • Apply the loading to labour only, not to materials, callout fees, or certificate fees

Frequently Asked Questions

Is this electrician invoice generator free?
Yes, free, no sign-up, unlimited invoices.
How does the safety certificate fee work with GST?
The certificate purchase amount itself is GST-exempt by law in every Australian state. If you charge an additional handling fee for your time lodging the certificate, that portion is subject to GST if you're GST-registered. This generator calculates both correctly and shows them as separate lines on your invoice.
Which certificate type should I select?
Select your state and the correct certificate name will be applied automatically: COES in Victoria, CCEW in NSW, Certificate of Testing and Compliance in Queensland, ESC in WA, eCoC in SA, CEC in Tasmania, and CoC in the NT and ACT. These all refer to the same type of document, proof your electrical work meets Australian safety standards, just named differently by each regulator.
Can I add a callout fee to my invoice?
Yes. Toggle "Include callout fee" to add it as a clearly labelled first line item with a custom description and amount.
How do I invoice after-hours or emergency rates?
Toggle "After-hours rate applies" and select your loading (50%, 100%, 150%, or custom). The surcharge calculates on your labour subtotal only and appears as a separate line before GST.
Where does my electrical licence number appear on the invoice?
Enter it in the "Electrical licence no." field under your business details. It appears in the contractor details block at the top of the invoice, below your ABN, alongside your licence class if selected.
Can I separate labour from parts on my invoice?
Yes. Each line item has a type selector: Labour or Parts & Materials. When both types are used, the invoice groups them under separate sub-headers with individual subtotals.
Do I need to show my public liability insurance on the invoice?
It's not an ATO requirement, but many commercial clients and larger jobs require evidence of currency. Adding your policy number to the invoice is good practice for commercial and insurance-related work.
What's the difference between an electrician invoice and a safety certificate?
The invoice is your request for payment. It details labour, parts, fees, and the amount owing. The safety certificate (COES/CCEW/etc.) is a separate legal document lodged with your state's electrical safety regulator confirming the work meets AS/NZS 3000. Both are required for licensed electrical work; this tool generates the invoice. The certificate is lodged separately through your state's system (e.g. ESVConnect in Victoria).
