What Must a Plumber's Invoice Include in Australia?

Under ATO rules, a tax invoice for plumbing work over $82.50 (inc GST) must include the words "Tax Invoice", your business name and ABN, invoice number and date, description of work performed, GST amount, and total amount payable.

Beyond the ATO minimum, a professional plumbing invoice should also include your plumber licence number, the job address (not just the billing address), a breakdown of callout fee, labour hours, and parts separately, payment terms, workmanship warranty period, and a Certificate of Compliance reference for regulated work.

Do Plumbers Need to Show Their Licence Number on Invoices in Australia?

Displaying a plumber licence number on invoices is not strictly mandated by the ATO, but it is effectively a professional and commercial requirement in Australia. Licences are issued and regulated state-by-state.

State/TerritoryRegulatorLicence type
VICBuilding and Plumbing Commission (BPC)Plumbing registration or licence by class
NSWBuilding Commission NSWTradesperson Certificate / Contractor Licence
QLDQBCCPlumbing Trade Contractor / Drainage licence
WAPlumbers Licensing BoardPlumbing contractor / tradesperson
SAConsumer and Business ServicesPlumbing contractor licence
TASConsumer, Building and Occupational Services (CBOS)Plumbing licence

NTNT GovernmentPlumbing licence

Including your licence number on every invoice builds client trust, satisfies commercial contract requirements, and lets clients verify your credentials instantly on their state register.

How to Invoice a Callout Fee in Australia

A callout fee covers the plumber's time getting to the job, regardless of whether work is performed. List it as the first, clearly labelled line item, not buried in labour.

  • State what the fee covers, e.g. "Covers travel and first 30 minutes on site"
  • Confirm whether the callout fee is credited against the total if the job proceeds
  • Apply GST if you are GST-registered
  • Keep the callout fee separate from your hourly labour rate

This generator adds the callout fee as a dedicated first line item automatically when you toggle it on.

How to Invoice After-Hours or Emergency Plumbing Rates

After-hours plumbing work is typically charged at a loading on top of the standard labour rate. The loading should appear as a separate line in the totals block, not blended into the hourly rate.

  • 50% loading is common for early mornings, evenings (e.g. 6pm-10pm)
  • 75-100% loading is common for late nights, weekends, and public holidays
  • Double time is common for public holidays and some enterprise agreements

The loading applies to labour only, not to materials or the callout fee.

What is a Certificate of Compliance for Plumbing Work?

In most Australian states, licensed plumbers must lodge a Certificate of Compliance (CoC) after completing regulated plumbing work. Requirements vary by state.

StateCertificate nameThresholdLodgement timeframe
VICCertificate of ComplianceWork over $750 inc GSTWithin 5 business days
NSWCertificate of ComplianceAll plumbing and drainage workWithin prescribed period
QLDForm 4 / Form 4AAll regulated workWithin 10 days
WACertificate of ComplianceAll regulated workWithin 5 working days
SAeCoC (electronic)All licensed workWithin 5 business days

Reference your CoC lodgement in the Notes field of your invoice. It confirms to the client that their work is properly certified and gives them a paper trail for insurance, property sales, and building inspections.

Frequently Asked Questions

Is this plumbing invoice generator free?
Yes. Free, no sign-up, unlimited invoices.
Can I add a callout fee to my plumbing invoice?
Yes. Toggle "Include callout fee" to add it as a clearly labelled first line item with a custom description and amount. It's automatically included in the GST calculation.
How do I invoice after-hours rates?
Toggle "After-hours rate applies" and select your loading (50%, 75%, 100%, or custom). The surcharge is calculated on your labour subtotal only and appears as a separate line in the totals block before GST.
Where do I put my plumber licence number on the invoice?
Enter it in the "Plumber licence no." field under your business details. It will appear in the contractor details block at the top of the invoice, below your ABN, exactly where clients and auditors expect to find it.
Can I separate labour from parts on my invoice?
Yes. Each line item has a type selector: Labour or Parts & Materials. When both types are used, the invoice groups them under separate sub-headers with individual subtotals, making it easy for clients to see exactly what they're paying for.
Does it handle GST correctly on plumbing invoices?
Yes. Toggle "GST registered" to add 10% GST. For invoices over $1,000, GST is shown per line item as required by the ATO. For invoices under $1,000, GST is shown as a single total amount.
Can I add a workmanship warranty to my invoice?
Yes. Enter your warranty period (e.g. "12 months on labour") in the warranty field. It appears automatically in the Notes section of the invoice.
What is the difference between a plumbing invoice and a Certificate of Compliance?
A plumbing invoice is your request for payment. It details the work done, parts used, and amount owing. A Certificate of Compliance (CoC) is a separate legal document you lodge with your state regulator confirming the work meets Australian standards (AS/NZS 3500). Both are required; this tool generates the invoice. The CoC is lodged separately with your state authority.
Do I need my gasfitter licence number on the invoice?
If you performed any gasfitting work (gas appliance installation, gas line work, etc.), yes, include your gasfitter licence number. Gasfitting is separately licensed from general plumbing in all Australian states. This generator has a dedicated gasfitter licence number field.
